Purchasing Coordinator

As the Purchasing Coordinator, you will hold a significant role within the Operations team by bridging the gap between Holland Colours Americas, Inc. and our suppliers.

Your responsibilities will include the procurement and disposition of all materials required for direct sale or internal production use as well as its related administrative functions. You will ultimately contribute to the organization's profitability and sustainability by ensuring all procurements are made efficiently and cost-effectively.

Responsibilities

Raw Material /Finished Goods Order Management (Domestic and International)

  • Run MRP daily to determine raw material and finished good requirements.
  • Define volumes and create purchase orders in ERP for materials needed.
  • Ensure all materials will arrive in time to meet production requirements.
  • Obtain signatures on all raw material P.O.’s and file hard copies in Accounting.
  • Input P.O.’s into ERP system.
  • Create requisitions for non-inventory items.
  • Communicate to the appropriate personnel any needs for raw material substitution approvals, job changes, formula changes, etc.
Track Incoming Materials
  • Communicate with vendors when orders do not arrive as expected.
  • Track imports and inform all relevant stakeholders when delays are encountered.
  • Maintain blanket orders for taxable and nontaxable supplies

Communication

  • Planning/Scheduling: align deliveries with job schedule, advise on delays, shortages, substitutions. Entering USPS requests for formulation changes when approved.
  • Logistics – Receiving: manage promise dates to keep Goods to be Received as accurate as possible, provide packing lists for imported goods, provide information on missed deliveries.
  • Quality: inbound damage, - assist with communication to internal (Planning/Accounting) and external (Vendors) customers as needed. Supporting vendor performance management reporting.
  • Accounting: Invoices and pricing
  • As needed, support or consult with Purchasing Manager regarding raw material problems, proposed price changes, vendor discussions, new raw materials requests, packaging problems, price changes, etc., recommendations regarding contracts, inventory, and raw material substitutions.
  • Sales: price sheet updates, imported Finished Goods status
  • E-mail or other traceable documentation of all significant communication with vendors, departments, customers, and other HCA locations (e.g., Supplier Track Phone Notes, e-mail summaries of conversations, meeting notes).

Inventory/Financial

  • Responsible for modifying supplier minimums and maximums to ensure proper safety stock levels are maintained.
  • Manage all open orders to ensure inventory levels are considered as it relates to OWC.
  • Update vendor price changes in ERP system as needed.
  • Ensure all imported finished goods inventories are maintained as committed to Sales.
  • Make emergency adjustments to imported finished goods orders when necessary.
  • Support annual inventory process.

Confidentiality

  • Disclose purchasing information only with the permission of the Purchasing and Supply Chain Manager (both internally and externally).

Serve as backup for Shipping Clerk and Lead Planner as needed.
Final closing of production job tickets as needed.

Our Requirements

  • Associates degree in quality or related field, or equivalent work experience
  • Excellent oral and written communication skills 
  • Math skills equivalent to basic algebra
  • Good color vision required
  • Proficiency in Microsoft Office required
  • Ability to learn company specific software required
  • Experience in plastics and/or color industry is a plus.
  • Authorized to work in the United States.
